Workflow used to manage tasks, approvals, and activities in a proper sequence. It helps streamline planning, data collection, and approvals by assigning tasks and providing real-time tracking. This improves efficiency and reducing manual work. However, challenges include handling complex approval hierarchies, managing user access and permissions, and maintaining workflow schedules.

and also users can receive alerts (like emails or in-app notifications) for task assignments, approvals, and status updates in a workflow.

Honest opinion for us we held off using Workflow principally because of non-linear flow not being available and we're still just scratching the surface of what's possible mainly because deciding how to map in a process can be difficult because let's be honest people behave randomly.

Our first use case was as part of a wider project where we were considering how users would be notified of information being updated. Because every flow was needing to be dynamic based on user the notification functionality wasn't quite hitting the mark.

So it's a simple flow but completes a module with user, date and completion and then emails out to the relevant users, maintained by data providers, that an updated position is available reducing external communications with excel files. This has led to being able to easily ensure that all end users have been notified of the latest data set.

We've applied workflow directly into existing UX pages - in my mind it shouldn't interrupt the flow of someone's work just replace an element of it.

And it's that which for new users of Workflow is important - don't try and do the whole process. Understand the manual hand-off and use Workflow for that or pick those key pages where approval is required. Don't try and do an individuals activity - we tried that and it just didn't work.

One of the quickest wins I found with Anaplan Workflow was the Notification Task. In several planning processes, business users wanted automatic email updates whenever an action was completed or a review was required. Previously, this meant manual emails or additional integration work to trigger notifications.

By leveraging Workflow notifications, communication became part of the process itself. Approvers and reviewers automatically receive updates at the right stage, reducing manual follow ups and helping keep the planning cycle moving smoothly.
