Anaplan XL Reporting (AXL) is a powerful solution bridging the robust planning capabilities of the Anaplan platform with the familiar flexibility of Microsoft Excel. It allows you to interact with your Anaplan data dynamically, right from your desktop. To use it effectively, it helps to understand how it works and when other Anaplan functionality, such as the native Anaplan user experience (UX), might be a better fit. The attached guide walks you through a few potential use cases for AXL, our recommendations for building effective and sustainable reports, and a few things to keep in mind as you build your reports.
Note: These recommendations are meant to spark ideas and provide general direction. The ideal application of AXL often depends on the specific context of your models, data, and team's objectives. Finding balance is key, as there is no single “best” approach across all situations.
For model builders, Centers of Excellence, and anyone who owns an Anaplan XL Reporting (AXL) report. Read this first, then dig into the full AXL Use Cases & Practical Recommendations guide for a deeper dive.
AXL connects your Excel workbooks directly to your Anaplan models. Build it right, and it eliminates hours of manual export-and-paste work every month. Build it wrong, and it creates the very headache it should have prevented. This page hits the highlights; treat it as a quick overview, not the complete picture.
Key topics covered
- Know the sweet spot: AXL shines when a small, trained team refreshes summarized reports or runs ad- hoc analysis on Anaplan data. Picture executive board packs, quick one-off checks, and reports that complement your Anaplan UX, not replace it. AXL is built for reporting, not planning or data management.
- Know where to apply caution: Skip AXL for ETL work, heavy list transformations, custom calculations that are included in recurring reports, massive transactional datasets, high-volume writeback, or anything that needs a guided workflow. Send those jobs to Data Hub, the Anaplan UX, your Anaplan Models, or Workflow instead; they will be a better fit in the long run.
- Design sustainable reports: Start from a healthy, optimized model. Keep each workbook lean and purpose-built. Favor dimensional data over flattened lists. Limit connections. Skip VBAs. These habits separate a report that lasts from one that becomes everyone's problem.
- Pick the right report type: Grids handle straightforward pulls fast and predictably and update dynamically with the model. Freeform gives you more formatting control but requires more maintenance. Formulas offer precision and ultimate layout flexibility but come at a high performance cost.
- Understand and build for query optimization: Every slicer change and pivot triggers a new query. Each AXL Formula is a separate query that also triggers every time the workbook refreshes, so save them for the cells that truly need them. Build smaller, well-scoped grids that use filters and ranges to limit the number of cells being updated, instead of one grid trying to do everything.
- Keep in mind the guardrails: Per workbook, we recommend fewer than fifteen connections, one thousand formulas, thirty grids, and one hundred thousand cells being updated. And only one read-write user at a time, with a single AXL workbook open consecutively. These numbers aren't arbitrary; they mark the point where a workbook starts to slow down, or it introduces instability in the connections.
- Watch for the quiet errors: An ALM promotion or reloading a list can silently shift list numbering. This could cause directly referenced list members to show the wrong value or display an error. A list that looks identical across two models can still need explicit hierarchy mapping.
- Know when to ask for help: A complex workbook design, a new dataset, or models with performance concerns each justifies calling Professional Services, an internal champion, or your Anaplan account team before you build, not after.
- Run the checklist before you ship: A few minutes on a checklist beat a rebuild six months from now.
