Use native Time settings and separate Time Ranges for forecast extensions, actuals, for example; Dedicated system modules for filtering and defining current year, prior year and next year.
No hardcoding to avoid formula edits every year; Follow DISCO methodology so, rollover changes do not affect the entire model.
Hard-coded years in formulas which caused broken calculations. All formulas with hard-coded years were updated to reference boolean or time selection line items.

My First tip would be for every model, plan and communicate! Rollover's frequently come with a period of "model downtime" particularly when you have multiple connected models which require tandem roll. Align your teams and users on the target dates and have an action plan for execution. The key to success is alignment with business process and user expectations. Strive to have a rollover process that is maximized efficiencies and minimizes disruption.

My second tip would be, for every model there should be an Admin UX page laying out the instructions for the roll over. This is a great way to keep the rollover top of mind and the layout any sequential activities. Each of my instructions will cover the preparation tasks that need to occur before we start the rollover (for example, if an model archive copy is needed) and then the steps layout the structural updates that require ALM vs. the production data updates which will need to be made in each environment. The Admin page should surface any of those production data inputs (for example "leapoff period") as well as any actions that should be run as part of the rollover.

Which leads me to my next tip! Before you rollover, ensure you have an understanding of any inputs which will now be "blank" because the model has added an additional year. Depending on your user/process, there may be a need to carryforward data from a previous year to populate a baseline value for users to override/edit. Each model is unique but this is a recurring theme I hear from users who are engaged in multi-year planning processes which may not be bottoms up in nature. If there is a standardized logic that can be applied for example, carry forward the balance from current year + 2 to current year + 3, then an import action can be created which is run as part of those standardized instructions above.

Finally, don't forget to celebrate! You did it, another successful year of modeling!!!

One of the most important lessons I’ve learned is that annual rollovers should never require structural model changes. Instead, they should be handled through a dynamic, control-driven design. The core of my approach is a SYS Time module and a centralized Rollover Control module. These modules manage key drivers such as Current Year, Current Period, and Forecast Start Period. All calculations reference these system flags rather than hard-coded time. As a result, the rollover process becomes as simple as updating a single control field. I also leverage Time Ranges and a Data Hub architecture to avoid extending the model calendar and to ensure historical and planning data are managed efficiently without impacting the model structure.

Real-World Impact

In one of my implementations, the annual rollover previously required multiple days of effort, including calendar updates, bulk copies, and formula adjustments. After redesigning the model using SYS Time flags, Rollover Control module, formula-driven Actual vs Forecast logic, and Data Hub integration, the rollover process was reduced to less than 30 minutes, with zero structural changes and no downtime. More importantly, the process became fully controlled by business users through a simple UX page.

Why This Matters

Designing rollover as part of the architecture—not as an afterthought—ensures scalability, stability, reduced risk, and a seamless user experience. A well-designed Anaplan model doesn’t need to be rebuilt every year. It simply continues to evolve.

Some of my key learnings over the years regarding rollover have been:

1.First and most important activity - Copy & Archive the model to have as a backup in case things go wrong.

2.Do a test run in a dummy model if feasible to spot any issues you'd face early on.

3.Maintain a separate time settings / lookup module with all time related settings. Easier to handle things in a few modules than trying to find out what breaks where.

4.Clean up time ranges not required - Have proper naming, spot the ones that overlap and keep only 1 of them. The lesser the items to maintain, the easier the activity.

5.No hardcoding of formulas, a simple annual activity would leave you wondering why a working system suddenly broke because some formula contained time.'FY 23' instead of a PY line item reference :)

6.Update opening balances, where required, especially in case of balance sheet/inventory/cash flow forecast etc since your last opening balance might be from the year before that could be lost in the rollover activity.

7.DO NOT rely on the brought forward option unless it's been turned on since the inception of the module. It comes with it's set of nuisances that we found out the hard way but your pages break/time hierarchy filter breaks on the front end and so do filters. Easier solution is to just have a separate module with the opening balances stored.

8.Check your key figures before and after the rollover activity to ensure everything is still working fine. A simple export/snapshot of the report can help you compare the before and after.

9.If you work with custom time for reporting, ensure the new periods are added to that list and the relevant mappings have been updated.

10.Last but not the least, document the steps you did for the model so the next time it is a simple checklist activity instead of "Where do I start" activity :)

Optimization reviews should include - Removing unused modules, line items, and lists.

Reviewing summary methods to eliminate unnecessary summaries.

Simplifying calculations and removing overly complex formulas.

4. Ensure Time Settings Are Correctly Updated

This is the core of annual rollover. Actions differ depending on your model’s architecture.

Update Current Fiscal Year in Time Settings.

Update Time Ranges (Historical, Forecast, Multi‑year).

Refresh mapping tables that depend on year (e.g., KPI targets, workforce assumptions).

Update version controls and default version settings.

Review model calendar alignment (weekly models especially!).

5. Rollover Data Properly (Carry Forward What’s Needed)

Some modules require data rollover others should reset annually.

Use Boolean flags in SYS modules to mark line items that must be carried forward.

Ensure opening balances (e.g., inventory, workforce, financials) have clear source references.

Avoid manual adjustments - always build automated rollover actions.

6. Simplify & Automate the Rollover Process

Create a Rollover Dashboard for admins.

Bundle rollover actions into a single process.

Include pre‑ and post‑validation checks.

7. UX Considerations During Rollover

Refresh filters tied to time ranges.

Validate that saved views still align with the new year.

Avoid overcrowded UX pages keep layouts consistent.

Below are the best practices I generally follow during Rollover.

1. Keep model calendar aligned to fiscal year

2. Use Current Fiscal Year setting smartly

3. Avoid hardcoding years in formulas

4. Use SYS Time modules to calculate Is Current FY, Is Next FY, Is Previous FY, Year Number to refernce in other modules.

5. Use Import actions to copy Actuals to Opening Balance and Forecast data to Budget versions.

6. Before rollover, restrict write access to the end user by marking centralized lock in SYS module.

7. Test Rollover in Test workspace using ALM.

1. The "Time Settings" System Module: Never reference a specific year (e.g., FY25) in a formula. Instead, create a System Module (SYS Time) with no dimensions. Include line items like Current Fiscal Year, Prior Year, and Forecast Start Period. Use these as lookups across the entire workspace.

2. Version Aliasing: Instead of using the native Version settings to drive logic, use a mapping module. This allows you to point a "Target Version" to "Actuals" or "Budget" without rewriting formulas.

3. Automated Action Chains: Use Processes to group your imports. A seamless rollover should be a "One-Button" experience:

a. Clear old data.
b. Archive current year to a static version.
c. Shift the "Current Year" flag in SYS Time.
d. Initialize new year drivers.

4. In a global Retail FP&A model, we had over 50 modules using formulas like IF YEAR(ITEM(Time)) = FY25 THEN.... When the year ended, we had to manually update hundreds of formulas. It was prone to human error, and the model was "down" for two days while we audited the changes. I implemented a "Current Year Filter" (CYF) strategy.

In the SYS Time module, I created a Boolean line item: Is Current Year?.
I created a second Boolean: Is Forecast Period?.
The Technique: Instead of hard-coding years in formulas, I used these Booleans in Filter Views and Dynamic Summary modules.
For data movement, I used a Mapping Module that uses the OFFSET function based on a central "Number of Periods to Shift" line item.

Best Practice to do this would be as below:

Annual rollover is once in a year activity so more than concentrating on formulas and automations, I would define proper rules and create imports accordingly, then run the same once the new period opens up.

Am not getting into best practices like take backups and so on as they are applicable to any process.

Build system Modules to identify the source list items and build booleans accordingly.
Identify the result list items and define formula for same in relation to source list items.
Identify the Modules which has the data to be rolled over and define the filters based on the result list items.
Create views based on the filters.
Create UX to first select the source and result list items so we know the source of rollover and where the numbers should flow (The required views should already be built and saved within modules).
Then create Actions for the views to be imported from source to result line items
Then create Actions to move existing source list items values to Data Hub IF we are having space constraints and using classic.
Once the data is rolled over and moved to datahub, feel free to run a delete action
Its advisable to run delete action after you do validation between source listitems value and result list items, so create a separate action to run delete after validations are sucessful.
You can create delete action driver based and link it to boolean line item which would be true if validations are sucessful.

1.Copy the prior‑year model
Always take a copy of the previous year’s model and archive it. This gives a clean backup and helps to compare changes if needed.

2.Update the model time settings
In the new model, update the Current Period, past/future years, and other time settings. This helps the model align immediately with the new fiscal year.

3.Use Time Ranges instead of depending too much on the Model Calendar
Adjust the Time Ranges so that only the relevant areas of the model need updating. This reduces manual effort and keeps other modules stable.

4.Adjust Switchover once per year
Update the Switchover month based on the new year. Keeping this controlled helps avoid incorrect Actuals vs Forecast values.

To keep rollovers simple, it’s best to maintain a centralized SYS Time module and use formulas instead of hard‑coded time periods.

If Time Ranges are not used, the rollover can become challenging because modules tied directly to the Model Calendar may cause historical reports to shift and show incorrect data when the calendar moves forward. Using Time Ranges prevents this issue by keeping historical periods fixed.

Core Techniques I have Consistently Used to Make Annual Rollovers Seamless and Repeatable

1. Strong Time Management Using Time Ranges

Design Time Ranges aligned to planning use cases, this avoids models recalculating unnecessary years.

* Reduces model size.

* Keeps formulas stable during rollovers.

* Prevents the need to reset past time periods manually.

How it is implemented in Anaplan:

Created module-specific Time Ranges and linked them using system modules so that rollovers become a one-parameter update rather than structural change.

2. SYS (System) Modules for Time and Mapping

* Maintain separate SYS modules for:

-> Time attributes (Current Period, Year, Month, Prior Year)

-> Model calendar switch logic

* Keep all logic in one place.

* Rollovers require updating only a single field (e.g., Current Fiscal Year or Current Period).

How it is implemented in Anaplan:

Built ‘SYS Time Filters’ module and referenced them everywhere else instead of hard coding time logic inside formulas.

3. No Hardcoding of Years or Periods

* Replace ‘IF YEAR () = 2025 THEN…’ with dynamic references such as:

IF ITEM(Time) >= SYS Time. Current Start THEN ...

* Hardcoding breaks during rollover.

* Dynamic logic automatically moves the model when the calendar updates.

How it is implemented in Anaplan:

Eliminated all year-based hardcoding by using Boolean filters in SYS modules that automatically shift based on model calendar.

4. Automated Actuals Load + Clear Scripts

* Create a repeatable workflow:

-> Clear the previous year’s staging area.

-> Load new Actuals files.

-> Automatically push through import actions.

* Ensures stable and clean data every new year.

* Minimizes manual intervention and human error.

How it is implemented in Anaplan:

Built Process Actions like "Clear Prior Year Actuals → Load Actuals → Refresh Calculations" and scheduled them via Cloud Works, reducing manual rollover tasks.

Proactive Strategies I Built into Models for Easy Rollovers

1. Parameter-Driven Rollover (Rollover with Just One Update)

* Create global parameters:

-> Current Fiscal Year

-> Current Period

-> Rollover Flag

* You update one parameter the entire model updates automatically.

* Eliminates structural changes every year.

How it is implemented in Anaplan:

Built a `SYS Global Parameters` module where planners can update the “Current FY” once a year. All time filters, dashboards, and calculations immediately adjust.

2. Future‑Proofing Data Hubs

* Keep Data Hub logic independent of model calendars.

* Load Actuals/Forecast in an open time range.

* Avoids data drops when the spoke model rolls over.

* Ensures consistent historical data retention.

How it is implemented in Anaplan:

Rebuilt Data Hub imports to load all available years into a staging module, then applied dynamic filters when pushing data to spoke models.

Below is a practical framework, based on real-world best practices that I have developed over the past 13 years in Anaplan, and it really helps ensure your rollover runs smoothly every time.

1. Maintain a Living Rollover Checklist

One of the most effective ways to de-risk your annual rollover is to maintain a centralized, sequential checklist, ideally within each model or in a dedicated administrator model.

This checklist should include:

Time settings updates (model calendar changes)
Time range adjustments
Version updates
Required actions and processes
Pre- and post-rollover validation reports

The most important part: keep it updated continuously.

As models evolve, small enhancements often introduce new dependencies - especially ones that impact time, versions, or data structures. These changes are easy to overlook during rollover preparation and can cause unexpected failures or data inconsistencies.

A well-maintained checklist ensures:

Nothing gets missed
New dependencies are documented as they’re introduced
The rollover process becomes repeatable and scalable

2. Automate the Rollover Process (Especially Data Cleanup)

Automation is where you move from a reactive to a proactive rollover strategy.

Whenever you design data flows into your model, think in three dimensions:

How do I load this data?
How do I structure it?
When (or if) should I delete it?

That third question is often overlooked, but it’s critical.

Smart Data Retention Strategy

Not all data should be treated equally:

Metadata → typically retained indefinitely
Transactional data (e.g., FP&A actuals) → often only needed for active planning horizons.

For example, you likely don’t need to store detailed income statement transactions for years that no longer exist in your model calendar.

Implementing Delete Logic

To handle this cleanly:

Add a boolean flag in your SYS modules that identifies records with no associated time period
Use this flag to drive delete actions

You can then:

Run deletes individually (for initial validation), or
Bundle them into a single automated process once confidence is established

Make It Visible

Surface this logic in a dashboard (or UX page) that includes:

Your rollover checklist
A preview of records flagged for deletion
Controls to execute cleanup actions

This transparency builds trust and allows stakeholders to validate what will happen before the rollover is executed.

3. Perform Critical Sanity Checks

Even well-designed models can behave unexpectedly when time shifts. A few targeted checks can prevent major issues.

Watch for PREVIOUS() Dependencies

Formulas using PREVIOUS() can produce incorrect results when the input source periods no longer exist.

Recommended approach:

Create an import action that overrides the first period of the new model calendar
Populate it with values from the last period being removed

This ensures continuity in calculations and avoids gaps in logic.

4. Always Backup Before You Begin

Keep a copy within the same workspace for easy comparison

This allows you to:

Run side-by-side validations
Compare pre- and post-rollover outputs
